1. BACKGROUND

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is looking for office Administrative Specialist to provide office and travel management - related services.

The Administrative Specialist shall provide office and travel management related services to the regional Cluster Lesotho according to GIZ standards and regulations as well as those of the commissioning parties BMZ and EU, and others if and as applicable.

 

  1. OVERALL RESPONSIBILITIES

  • The Administrative Specialist is a team member in the F&A Service unit of the Regional Cluster Lesotho and is responsible for providing comprehensive support according to GIZ standards in:
  • Ensuring the functionality of the GIZ premises and a conducive work environment
  • Sustaining and improving the eefficiency, productivity and compliance of office management processes
  • Providing effective and compliant travel-related services in close collaboration with a travel agency
  • Facilitating relocation and on-boarding of staff members
  1. TASKS

The Administrative Specialist is responsible amongst others for the following tasks:

  • Managing the offices’ rental, security, parking and cleaning contracts
  • Serving as ICT-focal point for the Cluster and coordinating IT-support
  • Supervising asset and stock management
  • Sustaining a ‘conducive office environment’ and functional office facilities
  • Maintaining systems/processes that facilitate efficient office operations
  • Ensuring teams have access to latest templates
  • Supporting with ISMS-processes and CSH-data
  • Checking travel requests and ensuring sound processing of necessary travel bookings
  • Ensuring sound visa application processes for business travel
  • Preparing and quality-controlling travel settlement documents of staff and partners
  • Coordinating the onboarding of new staff
  • Managing visa & residence permit applications
  • Offering relocation support to incoming & outgoing staff
  1. OTHER DUTIES/ADDITIONAL TASKS

  • Performing other administrative duties and tasks at the request of the management of the Cluster / F&A Service Unit
  • Deputizing other colleagues in the F&A Service Unit
  1. REQUIRED QUALIFICATIONS, COMPETENCIES AND EXPERIENCE

  • A BA degree in relevant specialisation and qualification in Business Administration, economics or similar
  • A valid driver’s licence.

Professional experience

  • At least 3 years’ professional experience in a comparable position
  • Experience in international development cooperation, digital transformation, and compliance. Further, it is important that the applicant owns all the character traits described under ‘knowledge and additional competencies’, below.

Knowledge and Additional Competences:

  • Good knowledge and command of the English language – both verbally and in writing.
  • Good knowledge and command of the Sesotho language.
  • Excellent knowledge in applications such as Ms Word, excel and power point.
  • Discipline and punctuality.
  • Structured and well-organised.
  • Good coordination and communication skills.
  • Ability to learn new systems quickly.
  • Thoroughness and an ‘eye for detail’.
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management.
  1. ADDITIONAL INFORMATION

  • This position is based at GIZ in Maseru, Lesotho.
  • This position is based in the GIZ programme office in Maseru, Lesotho. The candidate is expected to be available for business trips within and outside of Lesotho.
  • The contract period for this position is until 31 January 2026 in line with the current commissioning period of the project.
